Invite learners to Edjet LMS

Feature to invite people via their email is the most convenient way to create learner accounts. You can invite up to 10 people in one go. You can also add users to one or more groups. Edjet LMS tracks all your invitations and allow you to resend invitations easily.

When you invite people, the user accounts are created immediately but are set as inactive, so they do not count against license. User account is activated when person accepts the invitation.

You can create as many user accounts as you need, but total number of active users must match your plan or license. Learn more about users, storage and emailing limits.

To invite one or more users to LMS by email using Edjet LMS admin:

  1. Sign in to Edjet LMS admin.
  2. In the menu click people Users.
  3. In the toolbar click mail Invite users.
  4. In section Invite user enter Email addresses of the people you want to invite. Email address is mandatory. You can also enter First name and Last name (it is used to generated Username).
  5. To invite more people (up to 10 people) click add Add under the list.
  6. To remove unnecessary or unused lines in list click cancel Remove under the list.
  7. Under section Specify a password for new users you can let the Edjet LMS to generate a random password (recommended) or you can set your own password. To do that, enter your password next to label Specify password.
    Please note that using a specific password will send a password in plain text in the e-mail body and also will be visible in the Edjet LMS Messages page to administrators having access to system messages.
  8. In section Message template you can change template of the email to be sent to people. Default template is named "%%_eml_tpl_user_invitation_subject_%% – %%portal_name%%".
  9. In section Assign role to users click Learner.
    You can change the role anytime later. Learn more about user roles.
  10. In section Add users to groups you can click add Add under the list to add or create and add one or more groups. Users will be added to all listed groups.
  11. In the toolbar click archive Add users. You will be redirected to the Users page and view Invited users (optimized) is activated.

Upon the invite confirmation, invitation messages are added to a Messages queue to be send out. People will receive an invite message to their email. Message contain a link to accept the invite and Username (generated from name). If the user click the link, the invite is accepted and the user is redirected to Edjet LMS page to either create a new password and to log in to Edjet LMS or to directly log in using a specific password contained in the invitation message. When the invited user successfully log in to Edjet LMS, user account is activated and start to count against license. At this point, user is no longer listed in "Invited users" view.

See invited users

You can monitor which people was invited and if they accepted the invitation. Filter lists only accounts which did not accept the invite yet.

To see invited users:

  1. Sign in to Edjet LMS admin.
  2. In the menu click people Users.
  3. Change View to Invited users.

If you want to view invitation information such as when user accepted invitation for any user, switch to any view and enable columns regarding invitations.

Resending the invite message

To resend the invitation message to users which did not accepted the invitation yet:

  1. Sign in to Edjet LMS admin.
  2. In the menu click people Users.
  3. Change View to Invited users.
  4. Find the user and click edit icon edit in the row.
  5. In the toolbar click mail Resend invitation.
  6. You can review and make your changes to the message.
  7. In the toolbar click save Save.
  8. In the toolbar click play_circle_fill Send.
